Treasurer’s Report: Current balance $9,903.67 (owe $3,400 for mowing) which leaves $6,486.00. Corner of Arlington drainage issue: Carl to talk to homeowner about possibly shortening the pipe. Dues: Several late checks were received without the late fee charge. Next year, late checks will not be accepted if the late fee is not paid. North Pond Issue: A quote of $7,200 has been received from Shingledecker to remove gravel from North pond. Funds are not available to have this done this year. Emily to contact Euiker to obtain another quote. Bushes around aerator: Homeowner does not wish HOA to plant bushes. Chemicals for Pond: Ponds are being treated for algae Report of homeowners using pond water for lawn care: Homeowners should not be using pond water for personal use. Carl to address this issue with homeowners. Lights at entrances: Lights were placed at Westbrook/Flanders entry. They did not produce significant light. Emily to discuss with neighbors to see what type of lights they are using to light flowerbed. Block Party: There will be no block party scheduled for 2011. By-laws: Carl to locate Artistic’s by-laws as a template to modify AWHOA’s by-laws. Fall Meeting: Tentatively scheduled for Thursday, October 20 @ 7:00 pm. Silvia to arrange meeting. Entrances to development: Flowers have been planted at the entrance at Flanders. There was not enough room at Arlington entrance for flowers. Projects for 2011: It has been suggested to the Board that a bench be placed at the south pond. The board voted not to install a bench at this time. Dues: To-date, there are three outstanding payments. North Pond Issue: We will begin accepting bids for removal of excess gravel at the south end of the north pond. Chemicals for Pond: Dean to research treatment of ponds with copper sulfate. Report of thefts in neighborhood – There have been several reports of theft on Flanders. Yard ornaments have been taken off of lawns and front porches. Please report any suspicious activity. Lights at entrances: Carl will purchase one light to be installed at the Flanders entrance. If it works well, others will be installed at both entrances.

Entrances to development: Denlinger has mulched entries and around trees. Flowers & Mulch: Denlinger has offered to sell flowers to HOA at cost. We will purchase flowers from Denlinger, Trustees will plant them, and Denlinger will maintain free of charge. Aerators: Aerators to be turned on in the next couple of weeks. Projects for 2011: It has been suggested to the Board that a bench be placed at the south pond. No decision was made as to whether or not this will be done. Dues: A dues notice was distributed to each homeowner on March 1. Payments of $200.00 are due April 30, 2011. There will be a $20.00 late fee charged for payments made after April 30, 2011. To-date, we have received 22 payments, which leaves 56 outstanding. North Pond Issue: We will begin accepting bids for removal of excess gravel at the south end of the north pond. Lights at entrances: Carl will investigate further. New business: A request was submitted to install a basketball hoop at 773 Kimmel Trail. Request was approved by Trustees. Financial Status: After all expenditures were paid, our current balance is $331.18. Insurance Policies: Insurance is due in April. Glen to get copies of policies. All board members in favor to pay their dues early to cover the insurance expense. Dues: A dues notice will be sent out March 1. Payments of $200.00 are due April 30, 2011. There will be a $20.00 late fee charged for payments made after April 30, 2011. North Pond Issue: All board members in favor of budgeting $3,000 for North Pond Issue. Status of Tree Replacement: Trees have been replaced. Lights at entrances: Carl will investigate further. Grass cutting and mulching: All board members in favor of rehiring Denlinger. Financial Status: Current report shows a balance of $3,033.42. Expenditures have been made since this report. Glen will go to bank to get a current balance and a revised report will be put together. North Pond Issue: Discussed bill presented by Jeff Testerman for consultation on north pond issues. Discussions will continue next meeting. Status of Tree Replacement: Majestic Nursery quoted $965.00 to replace trees. Approved and will be completed later this year. Dues for 2011 and beyond: Currently set at $200, which will be due April 2011. Lights at entrances: It has been suggested that lights be installed at both entrances into Arlington Woods. Carl will shop for light options and prices. Maintenance of entrances: Received bid from Clements. $150 initial clean-up (plus cost of materials), $20 weekly charge through July, $15/week from July – October. Request for additional bids will be sent with grass cutting and mulching bids. Grass cutting and mulching: Request for bids will be issued by Carl by early December for summer 2011 lawn work. Bid will also include option for maintenance of entrances. Tree Trimming: Majestic will be contacted about submitting a bid for tree trimming. Communicating with Homeowners: Discussed putting together a quarterly newsletter. Distribution of newsletter would be done by trustees delivering personally. Our goal is to make all homeowners aware of webpage and also collect as many residents’ email addresses as possible. Future notices would then be posted on website as well as emailed.

Went over finance report/budget. Numbers look good and will end the year in the black. Received a letter from Jeff Testerman's attorney regarding working together to solve any outstanding issues on North pond. Carl sending back letter to request meeting to hear Testerman and his attorney out. Discussed damaged trees, good handful need replacing eventually. One in Snyder's home is dead as well as one at corner of westbrook/arlington. Wayne calling for a quote on having them removed/replaced this fall. Carl sending letter to ALL homeowners re-enforcing HOA by-laws. Lot of homeowners not following rules. Bi-annual meeting set for 10/20, 7pm, Golden Gate Park. 4 trustees were up to resign in June 2010 with nobody to fill their spots. Pushing to get new volunteers. Time limits discussed after a project is approved, 6 months from date its 'approved' from board!

Meeting took place at Carl Snedekers home. Unpaid homeowners dues were discussed, had 1 not paid. UPDATE: this homeowner has now paid. The aerator that is leaking in North pond was fixed, but apparently is still leaking. Pond specialist has been notified and he is putting a plan together to do something different and is involving the manufacturer of this issue. New homeowner at 844 Shaney Lane. Will get a document packet to them when they get settle in the next week or so. Block party is still scheduled for Saturday, August 14 at 6:00pm Meat will be catered from Rob's as in the past. Homeowners need to bring a side dish to share, their own chairs and a cooler with their own drinks. Will be on Randy Sue Ct. this year until dark. Will have corn hole again this year for anyone interested, had a great time last year. Street will be blocked off with police barricades around 5:30. Officer Whitaker is invited, our neighborhood watch police contact. Wayne Booher made a motion to raise HOA dues starting the year 2011 to $200.00 per homeowner. The 4 trustees in attendance agreed and the motion was passed. None was opposed in attendance. HOA board is suggesting a nomination committee. Several trustees are up and at the end of their 2 year term but has no one interested in being on the board. This to be discussed again with all trustees. West pond in bad shape with growing algae, a new chemical treatment is in the works for this. New fish, grass carps, have been placed in all 3 ponds. As usual, we appreciate those homeowners helping to take care of the ponds if in their property.

New home being built by Artistic, Lot #2364 on Kimmel Trail, plans APPROVED. We have blue prints until house is completed. Paver Patio APPROVED for Seagraves residence on Randy Sue Ct. Homeowner complaint sent via email to secretary, Jill Byrd. She forwarded to all trustees. Discussed and Carl (President) will be calling homeowner to try and sit down and come to an agreement over issues. Homeowner Dues-1 homeowner not paid, and 2 builders still owe on lots. Complaints of a box truck at a resident home has come in. Carl (President) called homeowner, truck is LEGAL as it is 1 ton and under. In the new bi-laws and updates, anything 1 ton and under are legal. Homeowner called and notified. Block Party-being held on Randy Sue Ct. this year. Being catered. Homeowners should bring covered dish to share, own lawn chairs and coolers with their own drinks. Street will be blocked off by city. Ponds-President attended a seminar on Ponds put on by Five Rivers Metro Park. Per the expert speaking, the aerators we installed were the right thing to do. They mentioned it will take about 2 years or so for the results to start showing completely. Algae in the ponds need grass carps for the weed growing. We ok'd and APPROVED President to purchase more carp and put in ponds. We will have a total of 3 per pond installed. This was done on Monday, June 20th. Neighborhood watch program meeting, Wednesday, June 23rd at City Office building. Complaints of someone burning smelly, rotten things in fire pits. Homeowner was talked to by President and hopefully resolved. Tree located on Flanders/Westbrook was cut up by a neighbor. Thank you Jim Jones for all you do to help our neighborhood. It was cut up and picked up by city. New tree will be put in this fall. Trustee Al Cherry is resigning at the end of this year. Next meeting July 15th.

Reviewed a letter sent to us from Brumbaugh Engineering and it discussed what we can do to proceed with the ponds. Still need to talk with Jeff Testerman again about the issue. This is still on table and not completed. Air leak in North Pond pump hose, Jeremy to follow up with Pond contacts to get this fixed. Reviewed Financial Report. Things looking good so far this year. Meeting room at City office was reserved for HOA public meeting, set for 5/26, 7pm. Election of Trustees coming up in June. Discussed getting volunteers for trustee positions and need staggering lengths of time for positions. Home Improvement Apps reviewed. Okayed a swing set, and a tree removal later in the fall. Also okayed paver project and a front door painting of different color. Cat issue was brought up with complaints. We have a family feeding and offering a box on their front porch. City offered traps if we want to try and catch on our own. All homeowners dues are paid with the exception of one, and a couple lots that we are waiting from builders. We discussed possible Neighborhood watch program due to increase in break ins. Police patrol our area well and break ins are happening during day. Suspicious people coming to doors, be leary of unfamiliar cars. Discussed having a police present at next meeting. HOA Public meeting notices being delivered to homeowners mailboxes on 5/19 by secretary.

Discussed collection of dues. All but a few homeowners have paid 2010 dues. Approved application for a satellite dish for Cranes. Approved application for a storm door for Senay's. Discussed the tree on Westbrook/Flanders located at Snyder's residence. It was struck by lightning a year and a half ago and is in bad shape. This tree will be cut down in the next few weeks and replaced with another tree. Snyders are in agreement with this plan. Weeding discussed at entrances of Westbrook/Flanders and Arlington Woods/Arlington. Jill offered to go weed them so there is no extra money taken out of budget for this. We will review at next meeting if any plants, etc. need replacing. Discussed chemicals being put in pond. Ponds looking nice. Robin is putting extra aqua shade in her pond and it looks really nice. Pumps turned on and bubbles are appearing, getting cleaned out. Issue with North pond still with Mr. Testerman. Carl had a meeting with him and they both agreed something more needing done. The plans are being worked up to correct the situation. Annual block party was set. 8/14, 6pm, on Randy Sue Ct. Street will be blocked off at 5:30 by Police barricades. Street will re-open at 10pm. Attending homeowners are to bring a side dish to share, own drinks and chairs. There will be corn hole and a tournament as the past couple years. Notices will be passed out for this event. Bi-Annual public homeowners meeting set. May 26th, 2010. 7pm at Brookville City Office Building. Notices will be handed out on this also to homeowners. Next Trustee meeting, 5/13.

Dues are trickling in. Notices handed out by HOA secretary, Jill Byrd, in mid-February. Due date of 4/15, with an amount of $175.00. Reviewed improvement application for Tom and Pam Brown at 792 Kimmel Trail. Building a deck w/ a paver patio on back, APPROVED. Reviewed improvement application for water feature in back of Trimble's home at 829 Flanders. APPROVED. Was not necessary as it is landscape, but approved anyway. Bids received for mowing AW entrances and around ponds. Denlinger Lawn Care was accepted and has started already. Aerators have been okayed to be turned on by Pond specialist and Jeremy Byrd turned them on end of March. Chemicals have been started in the ponds and are being done by Treasurer, Jeremy Byrd to save money to the HOA. Volunteers are going to be asked around association to help with weeding and landscaping the entrances. Problem brought by a visitor at this meeting. Parking a work ambulette on the street is bothering to him. Board sending a note to the homeowner to see if any assistance on their part can come of this. Carl will be handling the letter and complaint issue. Tree at entrance of Flanders/Westbrook was brought up by homeowner, Snyders. They would like something to be done with the tree as they state it looks really bad. Discussing the plans to cut down that tree. Next meeting set for 4/15.

Public Bi-Annual Meeting @ Brookville City Office Building

Ponds (work was started in Spring 2009 on all 3 ponds in AW, will continue to need maintenance (Chemicals, week control, algae control). Issue still on North Pond, will continue to resolve problem with water rising in Spring 2010 when weather permits. Landscaping will be done around pump stations in Spring 2010 also to help conceal them. Upkeep from pond residents is appreciated and helpful. Budget: exhausted funds for 2009 and will replenish with 2010. Funds used for ponds, lawn mowing and treatments, dp&l for pond pumps. Approval forms: residents need to continue to submit for any paint color changes, or permanent structures on their property. Storm doors are becoming popular right now, they need to be approved also. Website: Encourage residents to use the HOA website. Access to all meeting notes, both public and private meetings. Residents can find trustee contact information, phone numbers, etc. Pets: increased number of dog 'messes' in peoples yards. Please clean up after your pets. This is a city ordinance as well as convenant and bi-law within AW. New president: Darrell Mendenhall resigned as president as of 11/11; new president votes were for Jeremy Byrd, however Mr. Byrd chose to remain Treasurer. Carl Snedeker was 2nd choice to be voted in. New trustee: new trustee volunteered is Robin Ditrick. Welcome!

Things discussed: • Update on the ponds. Rock has been placed around the ponds, the excavating is also complete. The seeding was also done. • Final bill was received and will be paid this week. • Trenching is being done today, Tuesday, by Digging Solutions. We have hired a gentlemen (licensed electrician) to do the electrical along with Jeremy. The electrical drops were done on all three ponds. • Jeremy filed the permit in Brookville for the digging work also last week. • New Home Improvement applications received: o The Smith’s @ 815 Flanders Ave. Extending their back patio. APPROVED. o The Cherry’s @ Kimmel Trail. Putting in a waterfall, pillar stone wall. APPROVED. • Notices are going to be sent to homeowners at the end of this month. It will contain information regarding the use of the ponds….they are COMMON GROUNDS. Everyone who lives in Arlington Woods are welcome to use them. Also a notice about the Block party will be in the letter also. • Block Party: Saturday, August 15th @ 6pm. Shaney Lane, blocked off at 5:30pm. Corn hole tournaments, everyone is to bring a side dish, own drinks and chairs. Inflatable was discussed to bring back this year. Voted YES on this. • Benches discussed to place around the ponds for enjoyment. Discussed to maybe have them installed next year once ponds are done and money is re-established in account. • Concern for trash piling up on lot next to the Rice Brothers on Kimmel Trail. Emailing Jim Snedeker @ the city to see if this can be removed.

Location of upcoming power houses for pond aerators were discussed. We were told that the power stations will look like a large rock. Jeremy visited several neighbors that would be hosting this 'rock' in their yards and got some signatures that this will be ok. DP&L should be out any day, we are on the waiting list for them to get to us for an estimate and location of these houses. Grounds Keeper was let go. Reasons of why she was let go were missing places while mowing, not including the mulching of our trees. When brought to her attention, the quote we were given and told included the mulching, did NOT include. She was dismissed and Unlimited Services were hired. They started mowing the week after. Contract was drawn up and signed by pond expert and Jeremy Byrd. Home Improvement form was also made up and signed by 4 of the 6 trustees showing what work will be done on the ponds. Henger's Ponds will be installing 4 treatments into our 3 pond locations. We were notified to NO LONGER put any aqua shade or any chemical/treatment in our ponds that contain COPPER. This will interfere with the pond chemicals we will be using from now on. Discussed finding a tree expert to evaluate some of our trees outlying around AW. Studebakers/Westbrook, Snyders/Westbrook and a few along Arlington Rd are not in good shape. Marking of trees with ribbon or spray paint to notify Unlimited Services of which tree needs mulched. Darrel and Jeremy planned on doing this. Darrell is calling Unlimited Services regarding mowing....they are mowing to far down to the pond and in other lots. Carl mentioned sending out a questionaire to homeowners on what they'd like to see done/changed in AW. We all thought this was a good idea. Next meeting is set for July 12trh, 7:00PM

All Resident Bi-Annual Meeting

Opened the meeting by letting home owners know that we are having 2 meetings a year now instead of one. This is to help keep residents aware of things going on around the plat. This also allows homeowners to express concerns also. We will have a spring and a fall meeting. Dues notice has went out to all homeowners. Dues are $175.00 again this year. Homeowners have all of May and June to pay this. If not paid by 6/30, a $20.00 late fee is assessed. 2 full months is enough time to pay dues! Made homeowners aware that Tazz's Turf is cutting common areas. Residents commented on work being done by Tazz's and agreed it was nice work so far. Tru Green is now applying fertilization at entrances and common areas. Informed residents of budget. A hard copy was NOT passed out as the numbers for the upcoming pond work is not accurate yet. Block Party is going to be held on/around August 15th. Any suggestions for this years party is being accepted by contacting a member on the board.More information will be available in the next couple months! Trees at entrances (pruning, trimming) was discussed. Board will discuss at May meeting and get something done about them. Dry/Retention pond areas were discussed. City informed the HOA that pics were taken when raining, after rain. They seem to be functioning properly and doing what they were built to do. We have 3 wet retention ponds. We are to clean debris out every 10-15 years as instructed by city. Fencing around Arlington Rd Pond was discussed. More discussion will take place in the future. Flowering trees need to be looked at. The address is 837 Shaney Lane. Trustees change: Sylvia has been on board for 3 years, chose to stay another year. Rodney Stark hit his 2 year commitment and resigned. Jeremy and Jill Byrd are at 1 year, staying. Al Cherry and Wayne Booher are at 1 year, staying. Darrell Mendenhall is at 3 years, staying. Carl Snedeker was voted on by a neighbor, welcome Carl! Mention of kids trespassing and damaging home property in Flanders/Shaney Lane and Randy Sue court area. If you see kids again, call police. Around 11:30-12:30am time frame. Seems to be 4 or 5 boys. High school age. Several homes had property damage, door bells rang different hours, and cars broken in to. Upcoming pond work to Arlington Rd./Westbrook Rd. is about to happen. We have some excavating being done and some pond chemical treatments about to begin.

Pond Maintenance Overview: Jeremy has been working with Aaron at Henger Ponds. Aaron came out and looked at ponds on 10/24.

Yard Maintenance Overview: Services Unlimited, Helping Hands (Stone Quote), Fertilization Quote (Tru Green, Majestic).

There is no code for a fence, not necessary at this time.

Fokkinks have a clothes dryer out on their back patio, discussed.

To do list: Update website with meeting minutes. Make agenda for old business/new business, budget. Need to hear any voice issues BEFORE resident meeting to save time at public meeting. Time line and time limit suggested by resident at last Oct. meeting. No talking unless or until addressed.

The Haupts, New Construction. Blue prints submitted to Jill, trustees approved home being built.

Carl Snedeker submitted a letter to Darrell. His concern regarding lawn and pond issues. Contained a petition which was not needed and pictures. Discussed at meeting. Issues concerned mowing and the mowing crew being careless. We discussed mulching around trees.

We discussed why trimming is NOT being done by Lawn Pro, the chosen lawn keeper. It is NOT in the contract that was originally signed by previous board committee.

We have received complaints of a compost pile in the new section causing unpleasant odor to neighbors. Homeowner was talked to and it has been taken care of.

No pending litigation at the present, motion from board to revisit the Gazebo issue at hand. Trustees voted to move to the table.

Block Party discussed and date assigned, 8/16/08.

Letterhead for AW was designed by Jeremy and accepted.

Letter was put together and sent to Mr. Kahle regarding mowing his sidewalk area along Arlington Road. City is no longer doing this, it is his responsibility from that letter on.

Rodney Stark submitted an improvement letter for a wooden play set in his back yard. It is wood based and includes swings a slide. Trustees signed off to the included documentation and APPROVED.

Amendments for the HOA have been filed with the state. Declaration 5.10 states that we can NOT charge for empty lots if OWNED by the developer. Per attorney for HOA.

White Fence Issue: Landscaping has been suggested to help hide the white fence in the lot beside it. Funds would have to come out of HOA account. This was just DISCUSSED. Majestice Nursery/Browns Nursery. Orginial estimate was around $5,000 to plant a privacy tree/shrub every 5ft. www.austree.com

Denlinger (developer contact) sent Rodney Stark a letter. He was asking if he finished our request on the ponds (i.e. rock) if this would be his last request from us on this issue. We couldn't respond yet as of the developer is still in charge of 10 lots in AW. We agreed that he should still be involved.

Block Party 8/16/08. NO INFLATABLES this year. Hamburgers/hotdogs grilled...homeowners bring a side dish, dessert and chairs! Wayne called his buddy at Robs to see what the cost would be to cater. Update when we know back. Jill is to create flyers and pass out to homeowners. Website updated with date of block party. For fun, tournaments for corn hole. Jill suggested contacting the police department and fire department to make an appearance for kids to see and learn about. Street at Shaney Lane will be blocked off at 5:30pm. Sylvia agreed to do this phone call.

Al Cherry suggested changing lawyers this year. Talked about getting some interested bids.
